Group Trip Planner

Plan a group trip with friends without the group chat chaos

Eleven people, four opinions about dates and nobody tracking who paid for what. Voko gives your travel group one chat for the arguing and one shared itinerary that updates as you decide — dates, budget split, day-by-day plan, all in the same place.

Barcelona — 5 days, 6 friends

Alex
Barcelona is on. Thu–Mon or Fri–Tue? Flights are cheaper Thursday.
Thu–Mon works. Can we keep the whole thing under €400 each though?
Mia
Under 400 is doable if we do an apartment instead of hotel rooms. 6 of us splits well.
Sofia
Found one in El Born, 2 bedrooms + sofa bed, €570 total for 4 nights. €95 each.
Alex
Book it. I will front it and everyone pays me back.
Adding it to the plan. That leaves ~€165 each for food and activities after flights.
Mia
I want one full beach day and one day in the Gothic Quarter. Non-negotiable.
Ben
Sagrada Familia needs tickets in advance btw, they sell out. Learned that the hard way.
Sofia
Booking Saturday 10am slot for 6. €26 each.
Ben
Can we NOT plan every evening? Last trip we had dinner reservations every night and it was exhausting.
Agreed. Two booked dinners, rest we decide on the day.
Alex
One thing — Mia and Ben land 3 hours after the rest of us. Meet at the apartment, not the airport.

Why this beats planning a group trip in a group chat

  • One chat for the whole group instead of six side threads
  • Settle dates, destination and budget before anyone books
  • Turn what you agreed on into a day-by-day itinerary automatically
  • Everyone sees the same plan, so nobody misses the change

How to plan a group trip with friends

  1. 1Start a trip plan and drop the invite link in your group chat
  2. 2Argue about dates, destinations, flights and money — in one thread
  3. 3Voko turns the conversation into a shared itinerary and keeps it current

Group trip planning questions

How do you split costs on a group trip?

Agree on a per-person target before anyone books, track shared costs (stay, car, group meals) separately from personal spending, and let one person front each big booking rather than splitting every payment. Settle up once at the end against the agreed total. Keeping the budget in the same place as the itinerary is what stops the "wait, who paid for the apartment?" conversation on day four.

How far in advance should you plan a trip with friends?

Lock dates 3–4 months out for an international trip and 4–6 weeks for a short one. Dates are the hard part — everything else can be decided later, but a group that has not agreed on dates by the two-month mark usually loses people. Agree the dates and the rough budget first, then plan the days.

How do you decide where to go when everyone wants something different?

Give the group a shortlist of three or four options rather than an open question, put a rough cost next to each, and set a deadline for the decision. Open-ended "where should we go?" threads run for weeks. A shortlist with prices attached usually settles in a day.

What should a group trip itinerary include?

Arrival and departure times, where you are staying, one anchor activity per day, at least one booked dinner, and a per-person budget breakdown. Leave half of each day unplanned — over-scheduled group trips are how people end up splitting off. The example itinerary on this page follows that shape.

What is the best app for planning a trip with friends?

You want three things in one place: a group chat, a shared itinerary everyone can see, and the budget. Spreadsheets handle the money but nobody reads them; group chats hold the discussion but the decisions scroll away. Voko keeps the chat and the living itinerary side by side, so what you agreed on is written down without anyone taking notes.

How many people is too many for a group trip?

Past about eight, one itinerary for everyone stops working. Plan a shared home base and shared evenings, and let the days split into smaller groups. Trips of 10+ work best when the plan says which parts are "everyone" and which are optional.
