How do you plan a birthday party for an adult?

Pick the date and the headcount first — everything else depends on them. Set a per-person budget before you look at venues, book the venue six to eight weeks out, and send invites once the venue is confirmed rather than before. Split the remaining jobs into cake, drinks, music, invites and decorations and give each one a named owner.

How much should you budget per person for a party?

For a rooftop or restaurant dinner, €30–45 per head covers food and a welcome drink in most European cities. A house party runs €12–20 per head. Decide the per-person number before you shortlist venues — doing it the other way round is how party budgets double.

How do you split tasks when planning an event with friends?

Assign whole jobs rather than fragments — one person owns drinks end to end, one owns music, one owns invites. Shared responsibility for a task means nobody does it. Write the split down somewhere all the organisers can see, with the deadline next to each name, and keep an explicit list of what is still unassigned.

How far in advance should you send party invites?

Three to four weeks for an evening party, six weeks or more if people are travelling or it falls near a holiday. Ask for RSVPs a week before the date so you can give the venue a real number. Expect around 10–15% of confirmed guests not to show.

What do you need to organise for a party?

Date, headcount, venue, food, drinks, cake, music, invites and RSVPs, and a rough running order for the night. The two that get forgotten are the running order — when the cake comes out, when speeches happen — and who is dealing with the venue on the day. The example plan on this page covers both.

How do you plan a surprise party without it leaking?

Keep the organising group small and separate from the guest list, give guests the arrival time 30 minutes before the real one, and put one person in charge of getting the guest of honour there. The leak almost always comes from a guest replying in the wrong thread, so keep the planning conversation somewhere the wider guest list is not.
