1. Data We Collect

We collect information to provide a better experience for all our users. This includes:

  • Identity Data: Name, email address, and profile picture provided via Google Auth or Email signup.
  • Plan & Chat Data: Titles, descriptions, and messages created within your collaborative plans.
  • AI Interaction Data: Content sent to AI models (Google Gemini) to generate plans and suggestions.
  • Payment Data: We use Stripe for payments. We do not store your credit card details on our servers; they are handled securely by Stripe.

2. How We Use Your Data

  • Service Delivery: To manage your account, facilitate collaboration, and process your subscriptions.
  • AI Processing: Your chat content is processed by AI models to provide intelligent planning suggestions. Note: This data is used only to generate your specific response and is not used to train global models without your consent.
  • Communication: We send three separate kinds of email, and you control two of them:
    • Service email — password resets and email verification. These are part of running your account and cannot be switched off.
    • Account notices — things that happen to your account, such as credits we have given you. On by default; switch off any time in your profile.
    • Product updates — occasional news about what is new in Voko. You choose this when you sign up and can change it whenever you like.
    Every account notice and product update carries an unsubscribe link that works without signing in. We also send browser notifications, if you have enabled them.

3. Data Security

We implement industry-standard security measures, including encryption in transit (SSL/TLS) and encryption at rest. While we strive to protect your data, no method of transmission over the internet is 100% secure. By using the service, you acknowledge this inherent risk.

4. Third-Party Services

We share limited data with the following essential processors:

  • Google Cloud/Firebase: For authentication, database hosting, and AI services (Gemini).
  • Stripe: For secure payment processing and subscription management.
  • Resend: For delivering the emails described above. They receive your email address and the message content.

5. Cookies and Analytics

Voko sets cookies that are strictly necessary to run the service — chiefly to keep you signed in. These cannot be switched off, because without them the app cannot work at all.

We would also like to use Google Analytics (via Firebase) to see which parts of Voko people actually use. These are optional. Nothing analytics-related loads and no analytics cookie is set unless you accept them on the banner shown on your first visit — declining is remembered, and the rest of Voko is unaffected either way. Analytics events carry your account id, never your name, email, or anything you have written in a plan.

6. Your GDPR Rights

You have the right to access, export, or delete your data at any time. These tools are available directly in your User Profile. You can also change which emails you receive there, or use the unsubscribe link in any email we send. For any other requests, contact our support team.
